Applying on Greenhouse: autofill, status and MyGreenhouse
Greenhouse application forms open without an account, so you go straight to the form. Here's what Trabalero fills there, what it leaves for you, and what Greenhouse can and can't tell you after you apply.

Greenhouse autofill: what fills, and what's up to you
On the two postings we measured, Autofill filled 82% and 100% of the fields our test profile could answer: first page, one press, AI answers off, nothing submitted. Last tested 16 September 2026. How we test →
What fills from your profile
- Your first and last name, email, phone number, website and LinkedIn.
- Your current company, and your school, degree and subject.
- Dropdowns, set only when Greenhouse's own dropdown shows the choice.
- Your CV (résumé), with no account needed.
- Your saved cover letter: as a PDF when you're signed in to your free Trabalero account, or as a plain text file when you're not.
Left for you, unless you choose otherwise
- Consent boxes stay unticked, marked "review manually", unless you turn on Consent boxes in Settings.
- Diversity and self-identification questions stay blank, marked "answer manually". That holds unless you've chosen to save your own answers in your account settings, and those answers are never sent to AI. Sensitive questions: your call →
- "Preferred first name". We don't guess what you'd like to be called.
- Questions tied to one country, such as the right to work in the US, when your saved answer names other countries.
Fill these by hand for now
- Yes/No or list questions your profile doesn't match, such as how far you'd relocate. They stay empty and marked.
- Questions that appear only after another answer. Autofill can miss one of these, with no marker. Scroll through the form once more before you submit.
- The job description isn't picked up on Greenhouse application pages yet, so AI drafts there can't draw on it.
You press Submit. Autofill never sends an application.
AI drafts it. You review it.
Greenhouse application status: what you can see
Waiting to hear back is hard. Here's what Greenhouse shows you after you apply, and who can tell you more.
Greenhouse itself won't tell you
Greenhouse's support centre says it handles applications on behalf of the companies that use it, and doesn't share the status of any application. For a real answer, ask the company you applied to.
What MyGreenhouse can show
MyGreenhouse is Greenhouse's free candidate portal. Jobs you've viewed or applied to appear there, and each company chooses whether to share more, such as a status or emails.
Where a company shares status, there are two:
| Status | What it means |
|---|---|
| Active | The default for every application. |
| Inactive | The company rejected the application. It turns inactive when the rejection email is sent, or four days after the rejection if no email is sent or scheduled. |

Greenhouse says candidates aren't told when this changes. You see it next time you look.
What it won't show
- Every step. MyGreenhouse doesn't show each internal hiring step.
- Changes on your behalf. MyGreenhouse can't change an application, make hiring decisions or contact recruiters for you, and Greenhouse Support can't either.
- A timetable. Greenhouse says response times vary by company, job and recruiter, and that some applications are moved forward or rejected automatically, based on certain criteria.
Application not showing up?
Greenhouse gives three reasons:
- the company hasn't shared it in MyGreenhouse;
- it wasn't sent through a Greenhouse-hosted application form;
- you applied with a different email address.
To change or withdraw an application, contact the company directly.
Keep every status in one place
Greenhouse shows two states at most, and only where the company shares them. Trabalero's Applications tracker keeps every application in one list, whatever system it went through:
- applications you submit through the side panel are logged for you;
- you set each status yourself: Saved, Applied, Interviewing, Offer, Rejected or Withdrawn;
- a note holds anything the company told you.
The tracker needs a free account.
A few Greenhouse habits worth having
- Use the same email address every time, so your applications show up together in MyGreenhouse.
- Scroll the whole form once more before you submit. Some questions only appear after you answer another.
- Keep your own copy of what you sent. Once it's sent, only the company can change it.
- Apply to the roles you actually want. Greenhouse offers employers fraud detection and a spam blocklist. Do auto-apply bots get you rejected? →
MyGreenhouse and Quick Apply: do you need an account?
- Not to apply. Greenhouse says candidates can apply with or without a MyGreenhouse account. Trabalero's Autofill doesn't need an account either.
- What an account gives you. One MyGreenhouse account covers all your Greenhouse applications, plus any status and emails the companies share.
- No password to forget. MyGreenhouse is password-free. You enter your email at my.greenhouse.io and it sends you a single-use security code. If the code doesn't arrive, check your spam folder and the address you typed.
- Quick Apply. MyGreenhouse Quick Apply fills a Greenhouse application from the profile you keep in MyGreenhouse. Each employer decides whether to offer it. Trabalero's Autofill works on the form itself, from your Trabalero profile.
- Your data. You can delete your MyGreenhouse account in the app, and its saved information goes with it. The companies you applied to keep your application and control it, so ask them directly to see, change or delete it. MyGreenhouse FAQ
